Joining the Network — Security & OPSEC

A small, vetted community works only if every member treats it that way. Here is how we protect the Network, and what we ask of you in return.

Who reviews my registration, and against what?

Stephen James (Chair) and authorised network administrators review every registration. Where you indicate ICA membership, the number is cross-checked against ICA records. We also apply judgement based on the wider community context — the Network is small enough that we recognise most of you.

Approval is not automatic. We aim to process registrations promptly and will reach out if anything needs clarifying.

Who can see my details — before and after approval?

Before approval: admins only, all bound by confidentiality. Nothing about your registration is visible to other members or to the public.

After approval: your name and broad ROSE role appear in the member directory to other approved members. Your email, mobile number, ICA number and password remain admin-only and are never shown to other members.

Mentor and business listings can be published under an anonymous alias if you prefer — your identity is only ever passed to the other party when you initiate contact.

Why do you need a UK mobile number?

It is one of our integrity checks against fake or bot registrations — UK-format validation, combined with the ICA cross-check, makes casual abuse much harder.

We do not share your number with other members, do not pass it to commercial partners, and do not send marketing SMS. It exists so HQ can reach you directly if needed.

Where is my data stored, and what are my GDPR rights?

The core record is stored in Supabase (EU region, UK GDPR aligned). Approved member, business and mentor records are synced to HubSpot (EU portal) for CRM. There are no third-party advertising trackers in the member area.

You can access, correct, export or delete your data at any time. Self-serve deletion is available from your account page once approved. Audit records are retained where law requires; personal profile data is removed. The full processor list and your rights are set out in the Privacy Policy.

Can I keep my identity private inside the Network?

Yes — in two ways.

Public-facing listings: mentors and business owners can list under a chosen alias. The Network admins know who you are; other members see only what you choose to publish.

Submissions: opportunities, tenders and event sign-ups are routed without exposing your submitter details to other members. Your name passes to the relevant organiser only when you initiate contact.

What is my responsibility once I am in?

Everything inside the Network is shared in trust. We rely on members not forwarding member details, screenshots, opportunity notes or conversations beyond it. That includes outside chat groups, LinkedIn, and AI tools.

Apply Corps OPSEC habits to civilian career matters — context can make harmless detail sensitive. If in doubt, ask the team before you share.
